Reference: glossary

Answer — the response Chat composes for a question, built only from passages retrieved from your organisation's indexed documents.

API key — a credential that lets another system (an intranet, a pipeline) call RefineAI Answers programmatically. Managed in Settings → API Keys; shown once at creation.

Chunk — a passage of extracted text from a document; the unit that search matches and answers cite. Visible on each document's details page.

Citation — a numbered link ([1], [2]) from a statement in an answer to the exact chunk that supports it, shown with the document name and excerpt.

Collection — a named, colour-coded grouping of documents for organisation and browsing. Doesn't affect answering. See Collections.

Confidence — the honesty rating on every answer: High, Medium, Low, or Insufficient Data. See the confidence reference.

Degraded search — a notice that retrieval ran in reduced mode (fewer documents searched than usual) for that answer.

Extraction strategy — the recipe (parser + extractor + chunking) used to process a document type, e.g. Technical PDF Extractor. Configured under Settings → Extraction.

Gap — a question your documents couldn't answer (or answered weakly), collected in Gap analysis so the missing content can be added.

Indexed — the status of a document that is fully processed and available to Search and Chat.

MFA (multi-factor authentication) — a 6-digit verification code required alongside your password at sign-in. Personal setting in Profile; administrators can require it.

Organisation — your company's private tenant in RefineAI Answers. Users, documents, questions, and settings are completely isolated per organisation.

Relevance — how strongly a retrieved passage matched a query, shown as a score/colour in Search and a band (high/medium/low) on citations.

Role — a user's permission level in the organisation: Viewer, Member, Admin, or Owner. See Users, roles and permissions.

Semantic search — matching by meaning rather than exact words, so "holiday allowance" finds "annual leave".

Unverified sources — model references that couldn't be matched to retrieved passages, flagged on the answer rather than presented as citations.

Version — a prior upload of the same document, kept with a download link in the details page's version history after you upload a replacement.
